Executive summary

 This report presents the findings of a capacity plan study that was undertaken for the Whetter Widget Company’s computer replacement intention. The Company has decided to replace all their computers, printers and the Microsoft (MS) Office and Database Management System (DBMS) Software.

A healthy average business trading growth rise from 23.65% to 27.85% in the last two years has caused further demand on the computer system. The rise has only exacerbated a need for a capacity plan study.

An analysis of the computer system was performed to determine current capacity. Several serious capacity issues were found that require immediate effective solutions. The DBMS has almost been fully consumed of available resources. Furthermore printing technical design drawings with the laser printers is problematic. In addition, the effectiveness of backing up data is problematic, and a cleverer automated process is required.

As a result, a more robust, expansive, manageable DBMS program and new hardware configuration are required.

‘MS SQL Server 2005 Enterprise Edition’ is the recommended DBMS program, utilising the Processor Licensing Model.

Océ TCS300 plotter is recommended for printing technical design drawings in both Production Departments (See section Work undertaken).

Server machines are recommended to utilise ‘Windows 2003 Server, Enterprise Edition 32-bit Operating Systems (OS).

The recommendation is to replace all server and AutoCAD machines with optimum machines, conversely keep other client machines operational with Windows 2000 Professional OS. In addition, purchase sixty (60) new machines to cope with average business gross trading growth and hiring of new staff also. The new client machines will be upgraded to Windows XP Professional OS.

Autodesk AutoCAD 2007 Original Equipment Manufacturer (OEM) software is the recommended upgrade for AutoCAD 15.

‘MS Office 2003 Small Business Edition’ is the recommended office package, utilising a proprietary type licensing agreement.

It is recommended the backup process utilise the VXA-320 Packet-Loader Tape Autoloader manufactured by the Exabyte Corporation.

Budget will be exceeded if machine replacement is rigid in proposed replacement due to comprehensive approach. 

Introduction

The Whetter Widget Company has requested my services to perform a capacity plan study into there imminent computer replacement. The company is a national engineering firm with an office in Sydney (Head Office), Melbourne, Adelaide and Perth. States without offices are managed by those with an office. Furthermore Whetter Widget’s business operations have been computerised for the past eleven years. A computer replacement occurs on average every three years.

The DBMS and MS Office software are upgraded at each computer replacement. Additionally, Whetter Widget prefers to utilise Microsoft brand software.

Whetter Widget’s average three year business gross trading figure has risen from 23.65% to 27.85% in just two years.

The system configuration was examined to determine its current capacity. Then performance tests were carried-out to ascertain workloads and capacity issues. This was followed by an analysis of estimated future business trading growth. To ensure the capacity requirements of the system can cope with future capacity requirements.

An implementation plan to prepare for probable capacity issues was developed and submitted to management for signoff.

Monitoring of the system through design stage will be performed to ensure set benchmarks are achieved. Finally, the affect the new machines, software and plotters have on the system will be monitored as well.

Work undertaken

An extensive analysis was conducted into the current system configuration. The analysis was performed to determine the current capacity. For example, copious areas of the system was examined, such as, hardware, software, communication method and type, security, fault-tolerance, backup and restore methods, problematic issues and et al. Moreover, the examination was intended to confirm whether the available computing resources are performing satisfactorily.

DBMS

Several pivotal areas of the system were identified as requiring immediate attention. Firstly, the DBMS has almost been consumed of available data storage space. The DBMS has reached 75% of its maximum storage space, with only 25% free space remaining. Furthermore, there are 25 million database records currently stored in the DBMS. These records are required to be kept for at least 5 years. Therefore, the archived records and continuos records’ being added to the DBMS by an average of 2272727 records a year, will consume all the available resources very quickly. Probably within two to three years.

The DBMS currently utilised is MS SQL Server 2000. SQL Server 2000 has been satisfactory up to now, however, a more flexible, scaleable and manageable DBMS is required. For instance, MS SQL Server 2005 Enterprise Edition provides clever features that will enhance the DBMS. For example, SQL Server 2005 has the ability to cope with the Company’s extra demands on the DBMS, as a result of a rise in gross business trading growth.

Hence, additional hard drive space for Company data storage is urgently required. Moreover, the DBMS hard drives ideally should have approximately 10-15% used space and 85-90% free space on the hard disks. It is recommended to utilise three hard disks in a RAID 1 configuration. In addition, memory and CPU performance should be optimal with enhanced components in new server machines. Since current memory and CPU components in the server machines are satisfactory at best. For example, the DC server has only 512 MB of memory, when memory is arguably the key component in high performing DBMS’s. 

Memory should be increased to at least 4 GB while the CPU ought to take advantage of the latest CPU technology. For example, utilising a dual core processor will enhance DBMS performance as well as avoiding Microsoft’s licensing stipulation for a licence for each processor when using MS SQL Server 2005.

Plotter

Secondly, the Production department is experiencing difficulties with printing there AutoCAD drawings. Files larger than 32 MB are problematic to send and process in the printers. Because the current laser printer is limited and erroneous for printing drawing files over 32 MB in size.

An effective solution to this problem requires several system changes to be able to print Computer Aided Design Drawing (CADD) files, such as:

    • A plotter designed to plot CADD files => at least 500 MB in size
    • A plotter with hard disk (80GB) and memory (512 MB)
    • A plotter having compatible driver files to suit AutoCAD 15 and AutoCAD 2007, Server 2000, Windows Server 2003 versions
    • Network ready for Ethernet 10/100/1000baseT
    • Print server – An effective dedicated computer with printer services capable of storing waiting drawings (Print Spooler)

The aforementioned solution for a CADD plotter will underpin the Production Departments ability to cope with heavy workloads.

Since the Whetter Widget Company is purchasing twenty-five (25) new AutoCAD licences. It is recommended that all AutoCAD 15 software be updated to AutoCAD 2007 OEM by Autodesk. The ideal OEM license type is the Multi-seat Stand-Alone License. The latter will allow flexibility by having one (1) serial number for licenses, pre-allocated to multiple Production Department machines. In addition, all machines running AutoCAD 2007 should run on new optimum machines (See section Hardware).

The Océ TCS300 plotter has several features that will address the printing problems (See below):

    • Hard disk capacity 80 GB
    • Memory 512 MB, expandable to 1024 MB
    • Process next jobs during printing
    • Number of prints 1 – 999
    • Network 10/100/1000 baseT – RJ45

Note: The plotters can be configured to be accessed from anywhere on the network.

The recommendation is a suitable plotter for each Production Department is required.

Backup

The third main area of concern is the effectiveness of the backup media and process, for example, backup jobs are very slow to complete and the tapes capacity size is too small i.e. 22GB. Backup media tapes should be reasonably near the same size of the data storage areas. Additionally, the size tape is unsuitable for now and future data storage requirements. Furthermore Whetter Widget management have requested an automated tape backup system.

The backup process must be modified to utilise larger capacity media and an automated process. For instance, clever backup products that can provide enhancements to the backup process are available from EXAByte Corporation and Tandberg Data Corporation. 

The backup product that can meet the requirements of Whetter Widget is called the VXA-320 Packet-Loader Tape Autoloader by EXAByte. Since clever features can be utilised to implement an effective backup process providing benefits such as:

    • Automated tape loading
    • Remote management
    • Reduce IT manager and supervisor time managing backups
    • Scheduled time for backup jobs to run
    • Reduced human errors
    • Tape capacity 320 GB – Possible after compression up to 3.2 Terabytes (TB)
    • Ten-cartridge carousel

The aforementioned features allow crucial company data to be backed up more efficiently than previously. Moreover VXA-320 Tape Autoloader will maintain the integrity of Whetter Widget’s vital data.

Average Business Gross Trading Growth

Whetter Widget’s gross business trading growth has increased from 23.65% to 27.85% as an average. The 27.85% is an improvement of 4.2% in just two years from the regular three year figure of 23.65% (See below Figure 1).

This increase in trading will put more demand on the available computing resources and staff members. As a result, machine growth should be increased to keep pace with improved gross business trading growth. Furthermore, the imminent hiring of staff will require access to computing resources also hence an increase is plausible.

The total amount of machines utilised in the current system configuration is 344 (See below Figure 2). The latter figure includes laptops, server and client machines.

The recommendation is to increase machine growth to 20.54% this replacement to cope with increased gross business trading:

♦  17.45% to 20.54%

The total computers will be 404 machines. The total computer figure has seen an increase as a direct result of the adjusted 20.54% average computer replacement figure.

Hardware

The machines are configured for a managed distributed server/client environment. The system is controlled by one Domain Controller (DC) server located in the Sydney server room. Also authentication and manage servers are utilised in each server room.

After an extensive analysis was performed on the server/client machines several pivotal facts were determined.

Server machines

The server machines require upgrading to be able to maintain an effective network system. For instance, purchasing optimal hardware and configuring the system with the items listed below will prepare the system for the expected increased workload:

Þ    RAID 1 (Redundant Array of Inexpensive Disks)

Þ    Backup Domain Controller (BDC)

Þ    Windows 2003 Server R2 OS

 The server machines have to be enhanced with high-end hardware that will allow scalability and stability to the network.

Numerous factors were considered in selection of replacement machines:

  • Ø  Three machine manufacturers i.e. in case of mass hardware failure
  • Ø  Several hardware parts suppliers i.e. in case supplier goes bankrupt (warranty problems) or delivery problems
  • Ø  Warranty three (3) years Proprietary software i.e. beneficial for fixed cost and ongoing 3 year maintenance
  • Ø  Budget $116,000.00

 A maintenance agreement should be established with the machine manufacturer for the period between now and the next upgrade.

The three main machine manufacturers for the machine replacement are selected due to there buying power and maintenance reliability is:

  • Ø  Dell Corporation
  • Ø  Acer Corporation
  • Ø  HP Corporation (Via Reseller)

 The Dell PowerEdge 2850 Rack Servers are capable of meeting Whetter Widget’s system requirements. Utilising the rack-mountable system will allow additional servers to be added easily. The PowerEdge machine system specifications are displayed below (See Table 1):

It is recommended to the Whetter Widget to purchase high-end server machines. Additionally a quote can be arranged from Dell and Acer once approval of the implementation plan has been signed-off.

AutoCAD machines

The current AutoCAD Ver.15 machines are not suitable for the upgraded AutoCAD 2007 software. Since AutoCAD 2007 software requires specific hardware to function efficiently.

Furthermore 3D technical drawings require a lot of memory and CPU resources to work efficiently. Hence, machines currently running AutoCAD Ver.15 will all be replaced with premium machines, as well as, the new machines that will run AutoCAD 2007.

The client machines satisfy all of MS Office 2003 system requirements. Thus it is proposed that client machines intended only to use MS Office 2003 and the Windows XP OS not be replaced. Since these client machines will perform satisfactorily till the next three yearly machine replacements is due. Then all the client machines should be replaced. However, if management are still addiment that client machines are replaced then the three machines illustrated in Table 6 are recommended.  In addition, it is recommended that the manufacturers’ three year next-day onsite machine replacements be agreed to.

Since Whetter Widget’s business operations are intended to be mission critical level, a generator is recommended to be setup in the Sydney and Melbourne server rooms. The generators will power the DC server, auth servers and manage servers.

Note: If GigaByte Corporation motherboards are utilised in any of the machines then CAT 6 network cable is required.

Printers

As aforementioned the Production Department requires a plotter capable of printing large AutoCAD technical drawings (See section Work undertaken).

Whetter Widget’s intended upgrading of there Production Department printers provides an opportunity to implement a suitable plotter. Increased engineering drawing workloads will cause standard laser printers to fail sooner or later. Therefore the plotter recommended is the Océ TCS300 plotter. The latter specifications must be adhered to if implementation is approved.

Laser printers less than three years old are to be serviced by manufacturer through maintenance agreement. Since majority of printers are still in good condition, it is recommended to keep the good printers until next machine replacement. Furthermore, the dilapidated laser printers used in Production, Sales, Finance and Marketing Departments are to be replaced with the printers in Tables 8 and 9.

Several brands are recommended to be purchased. Moreover numerous factors were considered in selection of replacement laser printers:

  • Ø  Several suppliers i.e. in case supplier goes bankrupt (warranty problems) or delivery problems

Software

The three yearly replacement of specific MS software are now due:

    1. DBMS and Office software packages

The specific software that is being upgraded for this replacement is MS Office and MS SQL Server 2000. The ideal replacement upgrade versions are MS Office Small Business Edition 2003 and MS SQL Server 2005 Enterprise Edition respectively. In addition, the sixty new machines will be preinstalled with Windows XP Professional OS (Proprietary). The basis for these choices is set-out below.

    1. MS Office Small Business Edition 2003 OEM includes the following products:

MS Office 2003 will be preinstalled as proprietary software on new machines. The latter machines will still have to observe legal requirements stated in the End User License Agreement (EULA). Additionally, all machines with MS Office 2003 will require a software license.

Since all machines are being replaced purchasing preinstalled software is recommended. Proprietary software will provide two clear benefits:

    1. Whetter Widget will know the fixed price for the next three year
    2. It will be beneficial for ongoing maintenance of machines

The capacity specifications emphasize the scalability of SQL Server 2005. In addition, the features SQL Server 2005 offers will enable Whetter Widget’s DBMS to grow, and at the same time have high availability to users:

  • §  Database mirroring – High availability data solution
  • §  Online restore and fast recovery
  • §  Advanced Authentication and Authorisation

The aforementioned features will immensely enhance the DBMS performance. For example, clever features like online restore will ensure more uptime for the DBMS. While the fast recovery feature allows the DBMS to be available to users when undo operations run. Utilising these features will ensure the system’s mission critical state is not jeopardised.

The minimum and recommended system requirements for ‘MS SQL 2005 Enterprise Edition’ are displayed in table 12 (See below):

SQL Server 2005 works in conjunction with the Server OS hence several areas of hardware scalability are determined by the OS. For example, the memory (RAM) is limited to the maximum the OS can handle. In our case ‘Windows 2003 Server Enterprise Edition’ is the recommended OS thus it can support up to 64 GB of memory. The latter is seminal to how well the Whetter Widget DBMS will perform.

Another plausible reason for upgrading to SQL Server 2005 Enterprise Edition is since the number of CPU’s permitted in the hardware configuration is virtually unlimited. Although, note each additional processor on the server machine requires an individual SQL Server 2005 license.

    1. It is recommended Windows 2000 Server is upgraded to Windows 2003 Server R2, Enterprise Edition since it is more secure, stable and manageable. Windows 2003 Server will enhance the network operations significantly. Furthermore, by the time the next machine replacement occurs, Windows 2000 Server will be dated, for example, support from Microsoft will be available only as extended user pays support
    2. The new client machines will have Windows XP Professional OS installed on them as proprietary software. The benefits will provide two clear benefits:

 

  • §  Whetter Widget will know the fixed price for the next three years
  • §  It will be beneficial for ongoing maintenance of machines

 

Pricing for the aforementioned software is illustrated in Table 13 (See section Expenses, Estimates and Training Fees). 

 

Network

The network cables currently utilised are UTP Cat5E type with RJ45 connectors. A deliberate attempt to avoid using Gigabyte motherboards has been employed. Since Gigabyte motherboards require CAT6 network cables to function correctly. Therefore, confirmation of motherboard type with machine supplier before machines are delivered is required. If not CAT6 cables will have to be utilised for those machines and additional work and expenses will be required.

Note: Installation of new the machines to existing networks must not exceed thirty (30) machines. Hence, if they do an additional switch is required to ensure efficacy of network data transmission.

Software Licenses

The Microsoft Corporation software will require genuine software licenses. It will be the Whetter Widget Company’s responsibility to ensure legal requirements are adhered to. Monetary fines can be enforced on companies that breach the law.

IT Management must monitor the correct usage of software according to the EULA. Furthermore, there is third-party software available that can be utilised to monitor illegal software on network.

Microsoft states you don’t own the software when you buy it, only the software license. The EULA contains the terms and conditions of proper use of Microsoft software.

The licensing types available are Business Volume Licensing program, full retail product and OEM.

In Whetter Widget’s computer replacement there will be several software licensing agreements:

  1. Processor Licensing Model (Volume Licensing) - MS SQL Server software
  2. OEM EULA - XP Professional OS and MS Office 2003 proprietary software
  3. Server EULA (Volume Licensing) - Windows 2003 Server R32, Enterprise Edition
  4. AutoCAD 2007 OEM Upgrade Multi-seat Stand-Alone License

The license types differ slightly in there conditions of use. A complete explanation of terms and conditions can be found in the license agreements upon request.

Proposed timeframe for implementation of Computer System

The proposed implementation methodology for the system upgrade will abide to the ‘partial method’. The latter will see the upgrade built up to a fully functioning computer system. Each additional stage will be introduced partially to mitigate disturbance to normal business operations.

Installation is proposed to take place outside normal business hours. For example, installation will commence overnight during the week then be completed by Sunday (See Partial Method Plan below).

There will be four teams of IT staff that will be involved in the machine replacement. Each team will have following number of IT staff pertinent to the location workload:

 

    1. Sydney – 5
    2. Melbourne – 4
    3. Adelaide – 3
    4. Perth - 3

The servers will all be upgraded concurrently, conversely the DC will go online first in this order:

    1. Sydney – DC, Manage and Auth

Training Costs for MS Office 2003, Windows XP Professional and AutoCAD 2007

Items listed below are separated into main categories and can be learnt as individual modules if requested. Users manuals are only required for Windows XP OS, MS Office 2003, AutoCAD 2007 and price is negotiable. 

    • Learning to use Windows OS

Note: Training rates for learning in-house Windows software are charged at $90.00 per hour (GST Inc.). The courses can be arranged if required. Additionally, for AutoCAD workshops external TAFE courses are available for engineers.

SUMMARY and RECOMMENDATION

The proposed machine replacement is well above the allocated budget of $116,000 figure. Since the cost for replacing MS Office software, MS SQL Server and all machines are estimated at $500,000 approximately. A solution to this dilemma is summarised below.

After analysing the system it was determined that all machines do not require replacement. Only the server and AutoCAD machines require replacement. Whereas, the client machines running less-demanding applications like MS Office 2003 software do not require replacement. Moreover the main reason for this is the client machines meet MS Office 2003 Small Business Edition recommended system requirements (See Table 11).

The recommendation is to upgrade the MS Office software to MS Office 2003 Small Business Edition. The latter provides a convenient all-in-one application to suit general office tasks.

The recommendation is to upgrade MS SQL Server 2000 to MS SQL Server 2005, Enterprise Edition. The latter provides a robust and expandable DBMS capable to cope with future data growth requirements.

It is recommended to replace all server and AutoCAD machines with optimal hardware that are illustrated in Tables 2, 3 and 4. Furthermore, purchase of sixty new high-end machines is required for future gross trading growth increase and the hiring of new staff. In addition, the coexistent of Microsoft’s Volume Licensing and machine manufacturers’ proprietary licensing agreements will be utilised.

The total number of machines will rise from 344 to 404 in total (See Figure 2). Since there is an increase from 17.54% to 20.54% in the average machine replacement figure to allow for future average business trading growth increases.

Since Whetter Widget plans to upgrade there AutoCAD 15 software it is recommended they upgrade it to AutoCAD 2007 OEM software now for this machine replacement. In addition, an Océ TCS300 plotter is required for printing engineering plans in both Production Departments.

The current backup process is to be replaced with an automatic backup process utilising an Exabyte Corporation tape autoloader system.

The recommended implementation methodology is the partial method. The upgrade will take place outside of normal business hours to reduce disturbance to Whetter Widget’s staff and customers.
